Artificial intelligence becomes business essence and its complex implementation challenges organizations

For a long period, the journey of digital transformation in corporations was perceived as an incessant search for technological solutions. Various software emerged to meet specific demands, from CRM systems for sales to ERP platforms for administration, as well as tools for customer support and marketing activities. The common perception was that technology worked as a set of standalone applications designed to improve individual employee performance.

However, the arrival of Artificial Intelligence profoundly changes this dynamic established in the corporate environment.

Currently, most companies apply AI primarily as a resource to optimize the productivity of each employee. Its capabilities include preparing texts, meeting summaries, developing slides and responding to various questions. Although these features provide significant advances, they constitute only a tiny fraction of the potential for change that the technology promises.

The real power of artificial intelligence manifests itself when it transcends the role of a mere individual instrument and establishes itself as the foundation that integrates workflows, information and strategic choices across the entire business structure.

This represents a break with previous models. The central question, previously focused on accelerating the execution of tasks, now moves to a deeper analysis: “is this procedure, in its current configuration, still relevant and necessary?”.

Although this distinction may seem discreet, it completely changes the approach to the effective implementation of Artificial Intelligence in companies.

The initial step, crucial to successful adoption, does not involve selecting the most sophisticated technology or the latest language model. Instead, it lies in diagnosing points of inefficiency and waste of internal resources. It is essential to identify which routines cause the most difficulties for customers and teams, in addition to analyzing bottlenecks, redundant activities, excessive dependence on human labor or flows that can be automated.

Next, it becomes essential to map the systems responsible for storing vital information. Artificial intelligence only achieves the ability to make good decisions when fed with accurate and pertinent data. Without proper context, its functionality is limited to superficial interactions; with it, AI is able to operate effectively.

Subsequently, it is necessary to examine which requests actually drive day-to-day operations. In almost all organizations, there is a predominance of frequent and repetitive requests, such as consultations, review of records, generation of documents, monitoring of procedures, usual issues and bureaucratic tasks. These are precisely the tasks that benefit most from the application of intelligent automation.

Based on this in-depth understanding, the corporation can determine which tasks artificial intelligence can perform independently. This goes beyond simply answering questions, encompassing consulting systems, opening protocols, activating workflows, updating records, creating documents and comprehensive process management.

This transition does not imply the elimination of employees from operational activities. On the contrary, advanced organizations clearly delimit the scenarios in which human capacity remains irreplaceable. Highly complex issues, negotiation stages, strategic choices and atypical contexts remain under the responsibility of specialists. While AI provides scale, individuals can direct their focus to activities that generate greater impact and value.

Finally, technology implementation must be managed like any major structural change: with constant performance assessment and progressive expansion. Companies that demonstrate the most progress avoid trying to automate all operations simultaneously. Instead, they choose a crucial initiative, check its results, adjust where necessary, and extend the model to other activities.

This scenario perhaps represents the most common mistake in the current market. Many organizations assume that introducing artificial intelligence is just a matter of deploying a chatbot or purchasing an enterprise license. Although such actions can increase individual productivity, they rarely promote a true metamorphosis in business models.

The competitive advantage for the coming years will not lie in the mere possession of Artificial Intelligence, as this tool is already accessible to almost all companies. The real advantage will belong to those who know how to restructure their operations to operate under a continuous intelligence base.

Just as, in contemporary times, no corporation can operate without an internet connection, management systems or cloud infrastructure, it will soon become unthinkable for a relevant company to operate without an AI base that can interpret information, conduct procedures and assist in making decisions in a timely manner.

Organizations that assimilate this profound change first will not only achieve greater speed in their activities. They will redefine the way you operate. And it will be precisely this distinction that will define the leaders and other competitors in the next decade.
